# How to download invoices and set your billing details Each workspace’s invoices are listed on its **Plan & billing** tab, and you can put your company’s details and VAT or tax ID on them. Receipts are also emailed when a payment goes through. **Before you start:** any workspace member can view invoices. To edit billing details you need the **Owner** or **Admin** role. ## Download an invoice 1. Open the workspace switcher and choose **Workspace settings**. 2. Open the **Plan & billing** tab and scroll to **Billing history**. 3. Find the invoice and click **Download**. Each row shows the invoice number, the date, the amount and a status: **Paid**, **Open**, **Draft**, **Void** or **Uncollectible**. **Download** opens the invoice hosted by Stripe, or its PDF. **Billing history** shows your most recent invoices, newest first. When there are more, the screen says it is showing your most recent invoices. The section does not appear at all until the workspace has its first invoice. ## Who receives invoices and receipts The workspace owner always receives invoices and receipts by email. When a payment succeeds, the receipt email has the invoice PDF attached. If you add a billing contact, they get a copy as well; the owner keeps receiving them. ## Set your billing details and VAT or tax ID Add your VAT or tax ID before you are charged. Your address and tax ID decide the tax applied, and the tax ID is added to your invoices once saved. 1. On the **Plan & billing** tab, scroll to **Billing details**. 2. Fill in the fields you need: - **Company / billed to** - **Billing contact (optional)**: an extra email address, such as your finance team, that gets a copy of every invoice and receipt - **Address**, **City**, **State / region**, **Postal code** and **Country** - **VAT / tax ID (optional)** 3. Click **Save billing details**. After you save a tax ID, the screen shows its verification status as “Tax ID” followed by the status. A VAT or tax ID can be added only when the billing **Country** is an EU member state, the United Kingdom, the United States, Australia, Canada, Norway or Switzerland. The country list also includes New Zealand, Singapore, the United Arab Emirates, India and Japan, but for those countries saving a tax ID fails with “Select a billing country that supports VAT/tax IDs.” Leave the field empty and save the rest. ## What an invoice covers | Invoice | When it is issued | | --- | --- | | Renewal | At the start of each billing period, for your seats at your plan’s rate | | Seat increase | Straight away, when the seat count goes up mid-period. It covers the added seats, prorated for the rest of the period. | Seats removed mid-period are credited against your next invoice. See [Members and seats](/docs/members-and-seats/) for what counts as a seat. ## When a payment fails If a charge fails, the owner and billing contact are emailed, and workspace owners and admins see **Your last payment failed** at the top of the app. Update the card before the grace period runs out. See [How to update your payment method](/docs/updating-your-payment-method/) and [What happens when a payment fails or your plan ends](/docs/payment-failed-or-plan-ended/). ## Refunds and questions [Contact support](/docs/contacting-support/) with the invoice number. ## Related - [Plans and pricing](/docs/plans-and-pricing/) - [Members and seats](/docs/members-and-seats/) - [How to update your payment method](/docs/updating-your-payment-method/)
